1. Who we are

GrantCP is a European-focused funding discovery and research platform operated by A VIZION (NIPT: L42102033I), based in Albania.

GrantCP is designed to help individuals and organisations discover, monitor, understand and act on relevant funding opportunities.

For purposes of applicable data protection law, AVizion is the controller of personal data processed through GrantCP, unless otherwise stated.

If GrantCP is later operated by a separate legal entity, this Privacy Policy will be updated accordingly.

2. Our approach to privacy

We believe privacy should be treated as a fundamental part of the service, not as an afterthought.

Our guiding principle is simple:

“We collect what we need to make GrantCP useful — not everything we could collect.”

We aim to limit personal-data collection to information reasonably necessary to provide, secure and improve GrantCP.

We do not sell personal data.

We do not provide personal data to third parties for behavioural advertising.

We do not intentionally use personal information collected through GrantCP for purposes materially unrelated to the service without an appropriate legal basis and, where required, the user’s consent.

3. Information we collect

The information we process depends on how you interact with GrantCP.

This may include:

  • information provided when you register, such as your name, email address, account type, organisation, country and role;
  • account information, including email address, authentication identifiers and related account information;
  • Applicant Profile, Funding Goal, saved opportunity and preference information you choose to provide;
  • information you voluntarily provide when contacting GrantCP;
  • technical, security and diagnostic information generated as reasonably necessary to operate, secure and troubleshoot the service.

As additional GrantCP features become available, users may choose to provide information relevant to funding discovery and matching, such as organisation type, location, fields of activity, geographic reach, funding interests, experience and organisational capabilities.

GrantCP does not seek to collect sensitive personal information where it is not necessary for the service.

4. How we use personal information

We may process personal information to:

  • create, authenticate and administer user accounts;
  • manage account status and product access;
  • provide and operate GrantCP;
  • respond to questions and support requests;
  • protect the security and integrity of the service;
  • prevent or investigate abuse;
  • improve the functionality and reliability of GrantCP;
  • comply with applicable legal obligations.

As GrantCP develops, profile information voluntarily provided by users may also be used to identify and explain potentially relevant funding opportunities.

We process personal data only where there is an appropriate legal basis under applicable law. Depending on the circumstances, this may include consent, performance of or steps toward a service relationship, legitimate interests, or compliance with legal obligations.

5. Funding profiles and matching

A core purpose of GrantCP is to make funding opportunities easier to identify and understand.

When funding-profile and matching features become available, GrantCP may compare information voluntarily provided by a user or organisation with information contained in funding opportunities.

This may include factors such as organisation type, geographic eligibility, sector, programme requirements, applicant criteria, funding type and organisational capabilities.

GrantCP aims to use only information reasonably necessary for this purpose.

Any match, eligibility indication, score or recommendation produced by GrantCP is an assistance tool. It is not an official eligibility decision by a funding authority and does not replace the official rules, documentation or decisions of the relevant funder.

6. AI-assisted features

GrantCP may offer AI-assisted functionality to help users understand funding opportunities, eligibility requirements and related information.

Where such features are used, relevant information provided by the user and relevant funding information may be processed in order to generate the requested assistance.

AI-generated output is intended to support users, not to make legally binding decisions on their behalf.

Before introducing AI features that materially change how personal data is processed, GrantCP will review the relevant privacy implications and update this Policy where necessary.

7. Information from public and institutional sources

GrantCP collects information about funding opportunities, programmes and organisations from official, institutional and other appropriate sources.

Most of this information concerns programmes, organisations and funding opportunities rather than private individuals.

Where a public source contains personal information, such as the professional details of a programme contact person, GrantCP seeks to process only information that is relevant and reasonably necessary for the funding-related purpose.

The fact that information is publicly available does not automatically mean that GrantCP will collect, retain or republish it.

8. Service providers

GrantCP relies on third-party technology and service providers to operate parts of the service.

Depending on the functionality in use, these providers may support areas such as hosting, databases, authentication, email, security, infrastructure, artificial intelligence or payments.

Such providers may process information only to the extent necessary for the services they provide to GrantCP and subject to their applicable contractual, technical and legal safeguards.

GrantCP does not claim visibility into every internal technical process of its service providers. We base our assessment on the information, contractual terms, settings and documentation made available to us and on the controls available to GrantCP.

We periodically review relevant providers and processing arrangements as the service develops.

9. International processing and transfers

GrantCP is operated from Albania and serves users across multiple countries, with a product focus on the European funding landscape.

Some technology providers used by GrantCP may process information in different jurisdictions.

Where applicable data-protection law requires safeguards for international transfers of personal data, GrantCP seeks to rely on appropriate legal and contractual mechanisms available for those transfers.

We do not represent that all information is necessarily processed in a single country or jurisdiction unless this has been specifically verified.

10. How long we keep personal information

GrantCP does not retain personal data simply because it may be technically possible to do so.

Personal information is retained only for as long as reasonably necessary for the purpose for which it was collected, taking into account applicable legal requirements, security needs and documented retention criteria.

For example:

  • account information is generally needed while the account remains active;
  • information that users create or save as part of the product is generally retained while it is needed to provide that functionality;
  • security and diagnostic information may be retained for a proportionate period where necessary for security, troubleshooting or abuse prevention;
  • information subject to legal, accounting or other mandatory retention requirements may be retained for the period required by applicable law.

When information is no longer reasonably necessary for the relevant purpose, GrantCP aims to delete or appropriately anonymise it, subject to applicable legal and technical requirements.

Retention practices may be reviewed as GrantCP and its infrastructure evolve.

11. Security

GrantCP takes reasonable technical and organisational measures intended to protect personal information against unauthorised access, alteration, disclosure, misuse or loss.

Access to personal information is intended to be limited according to operational need and appropriate access controls.

No online service can guarantee absolute security. GrantCP therefore reviews and adapts its security practices as the product and its infrastructure develop.

12. Cookies and similar technologies

GrantCP may use cookies or similar technologies that are necessary for authentication, security, session management and the normal operation of the service.

GrantCP does not currently intend to use personal information for third-party behavioural advertising.

If non-essential analytics, advertising technologies or other tracking requiring consent are introduced, GrantCP will provide appropriate information and consent controls before using them where required by applicable law.

13. Your privacy rights

Depending on the law that applies to you, you may have rights relating to your personal data, including rights to:

  • request information about how your data is processed;
  • access personal data concerning you;
  • request correction of inaccurate information;
  • request deletion where applicable;
  • request restriction of certain processing;
  • object to certain processing;
  • receive eligible information in a portable form;
  • withdraw consent where processing is based on consent;
  • raise concerns regarding certain forms of automated processing.

The availability and scope of particular rights depend on applicable law and the circumstances of the processing.

GrantCP seeks to apply a consistently high standard of privacy protection while respecting the specific rights and obligations established by applicable law.

14. Account and data deletion

Where the functionality is available, users may request closure of their GrantCP account and deletion of personal information associated with it.

Deletion may be subject to limited exceptions where information must be retained for legal obligations, security, fraud prevention, dispute resolution or other lawful purposes.

GrantCP's objective is not merely to disable access to an account when deletion is requested, but to maintain a practical process for deleting personal information that no longer has a valid purpose for retention.

15. Children

GrantCP is a professional funding and research service and is not directed toward children.

We do not knowingly seek to collect personal information from children through the service.

16. Communications

If you create an account, contact GrantCP or request particular GrantCP notifications, we may contact you regarding your account, the service, your request or notifications you have chosen to receive.

Where consent is required for marketing communications, appropriate options to withdraw that consent or unsubscribe will be provided.

Operational, security or account-related communications that are necessary for providing the service may be treated separately from optional marketing communications.

17. Changes to this Privacy Policy

GrantCP is an evolving product.

We may update this Privacy Policy when our services, processing activities, technology, providers or legal obligations change.

Where a change is material, we will take reasonable steps to make the updated information available to users.

The date displayed at the top of this Policy indicates its latest revision.
